To support LACO’s fund-raising team and efforts in individual giving, stewardship and donor communications.
Scope & Responsibilities
The advancement assistant works as part of LACO’s dynamic fund-raising team and administrative staff, collaborating with colleagues in marketing, production and finance as necessary to complete assigned projects. The advancement assistant supports all members of the advancement team with primary duties focusing on annual fund cultivation, solicitation, stewardship and acknowledgement activities.
In collaboration with the annual giving & special events manager, the advancement assistant helps raise approximately $300,000 in annual giving revenue. Through a variety of personal and broad-based fundraising tactics for annual gifts up to $10,000, the advancement assistant will execute various projects that raise $215,000 in gifts under $2,500 and $85,000 in gifts from $2,500-$9,999. The advancement assistant ensures effective communications with donors at all stages of the gift cycle. Specific responsibilities are as follows:
- plan, execute and evaluate 6 direct mail appeals, 4 subscription suggested donation appeals, multiple email appeals and a telefunding campaign each year; craft messaging for all mass solicitation communications;
- segment and create mailing lists and serving as primary liaison for printing and mailing services (in-house or at mail houses) within deadline;
- research prospective grant sources and help write proposals and prepare application materials for government agencies, foundations and corporate philanthropies as needed;
Cultivation & Stewardship
- write copy for development websites, emails, newsletter articles, and other fundraising materials;
- manage the donation acknowledgement process including writing letters, managing lists and personalization
- ensure donor benefit fulfilment including program book donor lists, invitations to events and coordinating donor lounges at concerts;
- provide support as needed for two major fundraising galas, several smaller exclusive events, education programs, donor lounges and concert receptions each season;
- help ensure compliance with grant and sponsorship agreements, including reporting, acknowledgement and benefit fulfilment;
- oversee and expand LACO’s volunteer program in the areas of concert, fundraising event and office support;
- coordinate with LACO senior staff to prepare and compile materials for board meetings, track meeting attendance and maintain board archive; take board minutes;
- open and track all LACO mail; monitor daily donation logs; enter gifts into patron database; make bank deposits and generate daily reports for director of finance;
- maintain an orderly patron file system including updating/cleaning of data in the ticketing/donor database system;
- help maintain administrative office, including answering phones, filing and coordinating calendars and communicating across departments for smooth office operation;
- complete other development and general office tasks as needed and assigned.
Qualifications & Characteristics
The candidate will possess the ability to write comprehensively, clearly and persuasively; to interact effectively and congenially with a wide variety of colleagues and constituents including LACO’s Board of Directors; to think analytically and work independently while handling multiple assignments simultaneously; to shuffle priorities efficiently and pitch in where needed; to pay close attention to detail; to meet project deadlines consistently; to be an effective collaborator on team projects; to demonstrate proactive thinking to anticipate obstacles and take initiative as challenges and opportunities arise.
The advancement assistant must be comfortable communicating with a wide range of stake holders (staff, board members, donors, concert patrons, volunteers, and vendors). The advancement assistant will consistently show enthusiasm, curiosity and prompt attention to tasks.
- bachelor’s degree is required.
- scheduling flexibility including evening and weekend hours at concerts and special events required.
- 1-2 years successful working experience in a development department, preferably an arts organization, with an understanding of the mechanics of a successful annual fundraising operation preferred.
- proficiency with Microsoft Excel, Word, Outlook required. Familiarity with design software desired.
- excellent written and verbal communication skills.
- experience with database management or CRM (Customer Relationship Management) interface preferred; familiarity with Patron Manager or SalesForce preferred.
40 hours per week maximum. Some overtime may be required during heavy events periods. EOE
