Job Requirements: Looking for energetic, personable team player with strong attention to detail and knowledge of fashion, art, and entertainment cultures a must. Fast learner who is well organized with very professional written and oral communication skills.

Must have 1-3 years administration experience.

Computer skills: CRM database, Excel, and Word.

Position: Bookings Associate

Duties:

  • Assist with all incoming photographer bookings

  • Transfer client details from emails to events calendar

  • Schedule and send event details to photography team and operations team

  • Awareness of ongoing events both locally and internationally

  • Assist with the logistic arrangements in deploying the entire global Freelance and Partner staff to events and shoots

  • Ensure that all client needs are exceeded accordingly and business targets are met each month

  • Effectively communicate in advance with the Operations Department for all equipment set up & equipment needs for all events locally and globally

  • Assist with definition and coordination of content upload processes to ensure that quality captioned images are available for clients both during and after an event to meet strict worldwide editorial deadlines

  • Streamline communication on a daily basis with the Operations Department and Partnerships to ensure all client feedback associated with Freelance and Partner teams are updated

  • Proactively seek feedback from Clients, Operations, and Partnerships

  • Process and systematically file all paperwork regarding the production of events pertaining to all contracts and client forms associated with the Accounting Department

  • Source and research current events specializing in entertainment, fashion, art, food, and media to secure premium access to events

  • Effectively work with Accounting Department to implement existing and new billing processes and procedures

  • Proactively execute any additional duties as requested by the Director of Sales & Marketing and or Partners effectively

  • Implement, update, and maintain CRM

  • Communicate with every client in a proactive and systematic way

  • Assist Partnerships in: determining how many clients switch away from annually to establish client retention goals; with informative feedback to help identify the key reasons clients switch; implement policies instructed by Operations and the CEO that prevent loss of business; conduct supervised survey clients after project completion to determine their level of satisfaction

  • Maintain personal notes about clients in the CRM to build stronger relationships

As an operations associate, you have exposure to and responsibility over a wide variety of areas, which involve highly coordinated efforts between our internal teams and the photographers we represent. The ideal candidate must be open to working on diverse range of tasks related to customer, talent, office and website management, be decisive in high-pressure situations and be extremely detail-oriented. Above all, you must be a team player and take pride in continuously improving on the responsibilities of your role.

Daily Responsibilities

  • Perform key duties in developing and managing the BFA talent roster

  • Assure the health of our digital asset library and website through rigorous quality control

  • Partner with technology team in implementing new tools and resources

  • Liaise with BFA clientele through our customer support portal

  • Maintain equipment and office supply inventories
Project-based Responsibilities
  • Active role in all production needs for covering high-profile events, such as major Fashion Week shows and events related to awards season

  • Building means for continuously developing the BFA talent roster through recruitment, training sessions, rigorous testing and portfolio reviews

  • Work closely with all departments to build and implement long and short term procedural adjustments to improve processes
