David Kordansky Gallery is seeking a highly motivated, extremely organized, and team-oriented person who wants to be part of a rapidly growing, internationally renowned contemporary art gallery in Los Angeles. This Executive Assistant  role is a full-time position, Monday-Friday, and requires flexibility for additional hours based on the needs of the Gallery.


Client Relations

  • Recognize and acknowledge the individual names and faces of clients, collectors, and curators while providing an interface with them
  • Develop and retain an in-depth knowledge of gallery artists’ practices and biographies, as well as the private and public collections that own their work, through constant research and reading
  • Offer clients a drink, make coffee, espresso, etc., when appropriate
  • Coordinate and schedule studio visits for clients, curators, press, etc. as requested by the Owner
  • Schedule private viewings for clients, curators, etc. as requested by the Owner and coordinate installation with Registrar and Head Preparator as instructed by the Owner
  • Send offers to clients on behalf of the Owner, as requested
  • Create and send general correspondence on the Owner’s behalf, as requested
  • Coordinate and mail books and/or artist packets from the Archivist as requested by the Owner

Scheduling/Time Management

  • Liaise with the Sales EA, Directors, and other Gallery staff to schedule and adjust meetings for the Owner, as well as generally manage his business & personal calendars
  • Prepare the Owner’s daily agenda, collating information/requests from other Gallery staff for the Owner
  • Track reminders and important deadlines, notifying the Owner as appropriate
  • Review the daily agenda with the Owner, checking his schedule and relaying any information/requests gathered from staff the prior day
  • Make restaurant reservations for the Owner and/or clients
  • Make extensive travel reservations for the Owner, taking into account any fair and/or exhibition installation and opening schedules/requirements

Personal/Estate Management

  • Liaise with the Owner’s family to coordinate parallel travel arrangements, coordinate event attendance, and manage scheduling, as needed
  • Liaise with house staff, when appropriate
  • Run personal errands for the Owner and his family, as requested
  • Procure and prepare daily juice and lunch for the Owner, when present at the Gallery
  • Coordinate maintenance and repair of the Owner’s home with contractors, landscapers, etc, as requested
  • Be present at the Owner’s home when requested or as needed to meet third parties 


  • Be present for all Gallery exhibition openings, which take place on either Fridays or Saturdays
  • Track and keep receipts for monthly expenditures/business expenses, passing these on to the Finance team as needed
  • Answer the phones and take messages, in particular, notifying the Owner of any calls/messages requiring his attention
  • Sort and process mail and packages for the Owner
  • Ensure that the Owner’s phone, computer, iPad, and other devices are updated and working, troubleshooting as necessary
  • Stay apprised of exhibitions, openings, and events in the contemporary art world, in LA and beyond


  • Knowledge of contemporary art, art institutions, and the art market required
  • High attention to detail and exceptional organizational skills
  • Extremely self-motivated and responsible
  • Able to work successfully in a fast-paced, deadline-driven environment
  • Adept at creative problem-solving
  • Superior project management skills
  • Excellent computer and technological skills (digital photography, scanning, Word, Photoshop, In Design)
  • Excellent communication and written skills
  • Knowledge of ArtBase or File Maker database preferred
