P.S. ARTS is currently accepting applications for an administrative assistant to help support the Advancement team. We are looking for a detail-oriented individual with excellent organizational skills. The Advancement & Events Assistant will perform a variety of skilled administrative and clerical duties directly related to fundraising activities, including coordinating development and event mailings, acknowledging gifts and contributions, and participating in special events.

This position will work from our Venice office and will report to the Development Officer. The Advancement and Events Assistant is temporary with potential for permanent employment. It is a full-time position.

 

RESPONSIBILITES

Coordinate Development Mailings

  • Ensure timely delivery of membership renewals, acknowledgement letters, and welcome gifts
  • Work with Advancement Associate to prepare mailing lists and oversee the mailing process for all direct mail appeals and reports

 

Coordinate Membership Program

  • Track membership donations and coordinate membership dues and renewal process
  • Help identify major gift prospects within the membership base
  • Work with Advancement & External Affairs Officer to ensure compliance with benefits offered
  • Oversee “Perks” program including confirming monthly Perks partners, overseeing membership program marketing, and sending follow-up surveys and acknowledgement letters

 

Special Events

  • Record and edit minutes at event committee meetings
  • Request ad sales and auction items, as appropriate
  • Work with Events Manager to execute organizational branding at events, including concept and staffing for any P.S. ARTS Information Booths, as appropriate
  • Manage projects as assigned

 

Oversee Merchandise Line

  • Serve as contact for all merchandise sales
  • Fulfill merchandise orders, track inventory, and report to Finance Manager

 

Other Duties

  • Assist in Board of Trustees meeting preparation and documentation, including recording Board meeting minutes
  • Correspond with the Board of Trustees regarding upcoming meetings and record attendance
  • With the Advancement Associate, track outstanding pledges and distribute pledge reminders as necessary

 

Qualifications:

  • Availability to work some evenings and weekends
  • High level proficiency with Microsoft Office
  • Strong attention to detail and high level of organizational skills
  • Excellent written, oral, and interpersonal communication skills
  • Ability to consistently meet deadlines and demonstrate strong follow through
  • At least one year of general office experience preferred
  • Must be team-oriented with positive attitude
  • Experience and knowledge of database software preferred
  • Experience in a fundraising environment is preferred
