Associate Manager of Development Services

The Autry seeks an Associate Manager who will supervise and oversee the integrity of all data entry into constituent systems (i.e. Raiser’s Edge and all online related products) and all philanthropic contributions to the Autry National Center of the American West. In this role the Associate Manager will demonstrate a commitment to appropriate gift processing rules and best practices, complying with IRS regulations and the Autry’s Finance department’s policies and procedures. This position will supervise day-to-day batching, processing, receipting, and depositing of all donations (gifts, pledges, matching gifts, gifts in kind, and journal entries). This position ensures timely and accurate recording of these transactions within the database. The Associate Manager will work closely with Development staff and the Finance department on the reporting of donations. The Associate Manager will develop and conduct group and individual trainings on Raisers Edge, and other related software as needed, for the all Autry departments who use constituent data.

ESSENTIAL FUNCTIONS

  • Overseeing the daily processing of all gifts and pledges in Raiser's Edge, including the addition of new donor information to the database, while maintaining a high level of data integrity.
  • Provides monthly reports on progress toward fundraising goals and other ad hoc reports as deemed necessary by the Senior Director of Development.
  • Some accounting responsibilities related to Development budget.
  • Prepares complex, segmented mailings lists for institutional communications and direct mail solicitations.
  • Assists in special, strategic research projects as needed, including data mining, wealth screenings, deceased appends, etc.
  • Prepares management reports, Development Services systems documentation and records maintenance on a regular basis.
  • Works closely with the Finance department to reconcile contributions on a monthly basis.
  • Trains all staff on Raiser’s Edge and provides continuing education opportunities for Raiser's Edge and other technical applications. 
  • Facilitates Raiser's Edge upgrades, coordinates updates, and takes steps to protect donor data.
  • Supervises multiple volunteers and carefully monitors work
  • Other responsibilities as assigned.

 

MINIMUM QUALIFICATIONS

  • A Bachelor’s degree required
  • Two to three years of related experience in Development Services
  • Extensive relational database skills required; advanced Raiser’s Edge skills preferred
  • Advanced Excel skills required; Use of pivot tables preferred
  • Basic accounting skills preferred
  • Comprehensive understanding of research tools, such as Wealth Engine, Lexis/Nexis, electronic screenings, etc.
  • Knowledge of ethics statements by APRA, Council for Advancement and Support of Education (CASE), and other related associations.
  • Knowledge of basic principles and techniques relevant to major gift fundraising.
  • Ability to mentor and supervise staff and volunteers, including the ability to organize, train, and motivate staff in the gift entry and biographical maintenance functions related to Raiser’s Edge.
  • Excellent written and verbal communication skills required as well as exceptional critical listening and thinking skills; must exhibit attention to detail with excellent organizational skills.
  • Must be able to work under the pressure of time and frequent requests from multiple sources each having their own timelines and constraints and with all levels of administrative staff.
  • Must possess good judgment, tact, sensitivity, and discretion in handling confidential materials and situations.
  • Mature interpersonal skills to interact closely with database users; excellent customer service skills. Must be able to work effectively with diverse groups.
  • Excellent written and verbal communication skills required as well as exceptional critical listening and thinking skills; must exhibit attention to detail with excellent organizational skills.
  • Must be friendly and personable

WORKING CONDITIONS

Requires use of computer, physical mobility and stamina.  Involves: long periods of standing, walking, or sitting; frequent stooping, and bending.  Extended work hours as needed.
