Development Operations Manager

Overview:

The Development Operations Manager is primarily responsible for supporting the Development Department operations and providing support to the Chief Development Officer and department staff as needed.  The primary charge is the oversight and administration of the Raiser’s Edge database system, which supports the fundraising activities of the MOCA Development Department.  The responsibilities of this position include database oversight and administration, data entry/gift processing, report production and analysis, and prospect management.  This position is also responsible for producing and mailing donor acknowledgments and tax receipts as well as reports for membership and upper-level renewals.

Requirements:

Three to five years of related experience with Raiser’s Edge and membership database administration; ability to effectively train staff on RE; excellent troubleshooting, analytical, interpersonal, professional,  excellent verbal, and written (including editing) skills; high degree of accuracy; excellent knowledge of Microsoft Office suite; availability to work weekends and evening hours on occasion in support of museum events. Non-profit experience and a Bachelor’s degree preferred. Knowledge of contemporary art desirable.  A team-player, the individual must be organized with meticulous attention to detail.

 

Essential Functions:

  • Raiser’s Edge Report Production
    • Create and run queries for mailing lists, event invitations, membership renewals, and fundraising reports.
    • Generate data extractions as needed for Development and Finance Department such as the annual report and donor recognition boards, as well as special events such as the auction and gala.
    • Generate pledge reports for the Chief Development Officer and Chief Financial Officer as well as work with the Chief Development Officer to create pledge reminder mailings on a quarterly basis or as needed.
    • Manage the production of donor tax letters and acknowledgement letters.
    • Develop and produce accurate and timely Development and financial reports.
    • Work with Development department on the creating a more robust fundraising prospect management system including database screening oversight and the production of action and prospect reports.
    • Create and maintain updated fundraising credit lines to be provided to the Exhibitions department.
  • Gifts and Records Management
    • Provide effective management of confidential donor records; establish data standards and monitor data integrity.
    • Responsible for gift processing cycle, including preparation of daily deposits, credit card processing, and data entry into Raiser’s Edge; ensure accuracy of all gift information entered into Raiser’s Edge; manage acknowledgement data and letters.
    • In collaboration with the Chief Development Officer, develop and implement policies and procedures regarding the accuracy and integrity of the database system.
    • Maintains appropriate records of batches, paper files and other records related to contributions.
    • Responsible for tracking and filing multi-year campaign pledge documentation.
    • Work with Development staff and staff of other museum departments to ensure that all gifts of cash, stock, art, and other in-kind gifts – as well as bequests and pledges – are properly recorded and acknowledged.
    • Serve as primary Development Department liaison to the Finance Department to ensure accurate financial records, gift coding, reconciliation, and regular audits of department records.
    • Maintain donor contacts in email marketing system (MailChimp) including weekly integration and regular cleanup.
  • Other Duties
    • Serve as liaison to Visitor Services and troubleshoot integration issues with Patron’s Edge in coordination with the IT department.
    • Coordinate and test all Raiser’s Edge upgrades with the technical team.
    • Maintain prospect lists and work with Development team to establish prospect tracking systems and procedures.
    • Oversight of prospect research database systems and create prospect research reports for Chief Development Officer and Development staff.
    • As needed, serve as the administrative support person for the department, including coordination of mail, filing and answering membership phone line.
    • Train staff and volunteers individually and/or in group training sessions in Raiser’s Edge software as necessary; provide guidance and/or answer questions for staff regarding Raiser’s Edge software.
    • Work on cultivation and fundraising events as needed, including evening and weekends events.
