Status

Full-Time, Non-exempt, Hourly.

Under the supervision, strategic and conceptual guidance of the Director of Education and Community Partnerships, work to ensure the successful delivery of Center Theatre Group’s (CTG) education and engagement programs, services and events.

Position Summary

Under the direct supervision of the Program Manager, the Program Associate will provide project management and support for CTG’s emerging artists and arts professionals programs, especially the Student Ambassador Program, Student Access programs including workshops and special events, and the CTG Internship Program. This is a full-time position that requires some nights and weekend hours (for a total of 40/week). Hours are not flexible.

The Program Associate will also provide administrative and project support to the Program. Responsibilities include department data management and facilitating outreach to best promote assigned department programs and increase applicant pools.

1.      Serve as Project Manager for assigned projects:

  1. In collaboration with the Program Manager, manage the development of program content:
    1. Research needs and priorities for program development.
    2. Identify program partners, solicit involvement and manage these relationships.
    3. Participate in the development of program components and materials (applications, curriculum, lesson plans, surveys, etc.).
    4. Understand goals, manage timelines and set benchmarks.
    5. Manage evaluation and documentation strategies in conjunction with the Program Manager.
  2. Coordinate marketing and communications for assigned programs:
    1. Work with Program Manager and other team members to develop marketing/outreach and communication strategies in alignment with program goals:
      1. Identify target participants for outreach and involvement.
      2. Collaborate on development of needed materials to support outreach strategies.
      3. Initiate contact with new prospects, execute and manage program outreach, employing a range of strategies to communicate to a diverse, representative, and active group of participants that meet enrollment goals.
      4. Track and analyze outreach strategies regularly. Research and recommend strategies for ongoing outreach to expand program participation.
      5. Identify creative ways to engage constituents more deeply and directly in the work of the department.
      6. Manage data collection and tracking, including Tessitura entry and statistics reporting.
  3. Successfully execute program implementation:
    1. Track and meet deadlines.
    2. Coordinate and manage all event logistics.
    3. Meet or exceed goals for enrollment and participation.
    4. Effectively implement program components.
    5. Manage contracts and vendor relations as needed.
    6. Identify challenges and develop solutions to program implementation.
    7. Coordinate and manage program documentation.
    8. Assist in and provide statistics for program evaluation.
    9. Respond to program inquires in a timely manner.
    10. Cultivate relationships with program alumni.
    11. Stay abreast of school schedules (testing, holidays, breaks, minimum days, etc.) as it relates to program planning and scheduling.
    12. Be familiar with project budgets and contracts under supervision of the Program Manager.
  4. Assigned Programs include:
    1. Student Access Programs, including but not limited to:
      1. Student Body
      2. Student Body Workshops
      3. The Student Scene
    2. Student Ambassador Program

2.      Participate as a member of the project team and manage specific assigned tasks related to program content, marketing, communications and implementation.

3.      Provide support to Education and Community Partnerships department.

    1. Assist department staff with the planning and implementation of education and outreach activities (conferences, matinees, workshops, trainings, etc.) and special events as assigned.
    2. Assist with task assignments and mentoring of department interns, as assigned.
    3. Articulately, enthusiastically and accurately represent educational goals and content of programs and services.
    4. Provide accurate and helpful basic information on CTG in general.
    5. Assist in responding to information requests from Director or other departments. Use good judgement in redirecting inquiries to other staff/departments.

Education, Experience and Skills

  • Bachelor’s degree required. Degree preferably in Arts Management/Administration, Theatre, English, Education or a related field, or equivalent experience.
  • Administrative experience, including data management, customer service, and collaborating with a team in a work environment.
  • Familiarity with database systems such as Tessitura is a plus.
  • Event planning and/or project management experience.
  • Outreach/marketing experience, preferably for educational programs or arts events.
  • Strong written and verbal communication skills. Applicant should be able to craft communications quickly and with a high level of professionalism and accuracy.

Other Requirements

  • An appreciation and enthusiasm for live theatre. Direct theatre or theatre management experience (especially in Los Angeles) is a plus, but not a requirement.
  • Strong interest in arts administration/management, arts education and professional development for emerging artists and arts managers. Note that this is not a teaching position. Experience with professional development groups, arts education settings and/or internship programs is a plus.
  • Ability to work in a fast-paced, dynamic work environment, focusing on various projects simultaneously, establishing appropriate priorities and work procedures.
  • Availability to work some evenings and weekends.
  • Team-oriented, with ability to work closely with diverse groups of people, including teenagers, artists and colleagues in multiple departments.
  • Ability to embrace change and maintain a positive attitude.
