Job Title: Academic Programs Coordinator
Department: Academic Affairs
Reports to: Academic Program Chairs & Chief Administrative Officer
FLSA Status: Full-time, Exempt

Summary:
The Academic Programs Coordinator provides administrative and academic support to the Academic Program Chairs at SCI-Arc. This position reports to the Undergraduate, Graduate, Postgraduate Chairs, and partners with each Chair to support the goals and needs of their programs. This position also reports to the Chief Administrative Office and works within the Academic Affairs department in the coordination of academic events and special programs.

Essential Duties and Responsibilities:
- Perform administrative duties to support the Academic Program Chairs, including coordinating faculty meetings, responding to program inquiries, and maintaining academic schedules
- Facilitate annual Thesis and end-of-year presentations and events of each academic program
- Organize faculty retreats for Undergraduate, Graduate, and Postgraduate faculty
- Coordinate and schedule academic workshops, masterclasses, and academic exam schedules
- Assist in coordination of summer academic programs such as Design Immersion Days (DID) and Making + Meaning
- Oversee the collection of Gateway Portfolios, coordinate faculty portfolio committee meetings, and correspond with students regarding their portfolio submissions
- Manage grant-tracking process for summer academic programs and serve as main point of contact regarding program expenditures
- Oversee the collection and archiving of class syllabi
- Manage travel arrangements for Academic Program Chairs and visiting guests of academic programs
- Draft correspondence on behalf of the Director’s Office and Academic Program Chairs
- Monitor and track expenses, generate budget reports, and coordinate reimbursement requests for the Undergraduate, Graduate, and Postgraduate programs
- Manage payments to outside vendors and invited guests of academic programs
- Plan and organize various academic committee meetings
- Maintain annual updates to the Course Catalog
- Manage space reservations for studios, seminar reviews, exhibitions, and other departments
- Support the Academic Affairs department with preparations for periodic accreditation reviews
- Maintain the faculty directory, files, and mailboxes
- Collect and archive field trip waivers
- Support other institutional events as needed including fundraising, public programs, and graduation
- Other duties and projects, as assigned

Qualifications:
- Bachelor’s degree and/or 3+ years of relevant experience
- Proficiency in MS Word, Excel, PowerPoint, Outlook
- Experience working in higher education and/or a creative environment (i.e. design/architecture firm, arts/cultural institution, production company, publication, or PR firm) is preferred
- Must be a self-starter and have a demonstrated ability to work independently
- Attention to detail and strong organizational skills
- Strong verbal and written communication skills
- Ability to multi-task and juggle multiple projects in a fast-paced environment
- Strong interpersonal skills with the ability to create and maintain collaborative working relationships
