The Skirball Cultural Center seeks a dynamic, self-motivated, detail-oriented, flexible team player for the position of Administrative Assistant in the Education department. This position reports to the Director of Education and is responsible for providing administrative, clerical, and financial management support to a collaborative team of managers, educators, and coordinators. This is a year-round, full-time, non-exempt position with pay of $19 per hour. The schedule is Monday–Friday with flexibility to work weekend days and occasional evenings.


  • Support the Education team, which develops participatory programs for youth, families, and teachers, by successfully performing the day-to-day operations of the department and working closely with other departments at the Skirball
  • Handle a wide range of clerical and administrative duties including:
  • Managing general office operations
  • Preparing correspondence
  • Generating, editing, and reformatting documents
  • Maintaining digital and physical department files and records as needed
  • Scheduling meetings
  • Responding to inquiries and problems
  • Maintain the department budget, tracking and reconciling expenses and income, and creating reports as needed
  • Facilitate, schedule, and arrange employee travel and professional development; track and maintain both individual and department memberships for professional associations
  • Serve as the central contact for the Education department, working closely with team members to share department information and coordinate a full range of meetings and events
  • Act as the department’s main administrative point-of-contact with other departments, including Operations, Communications and Marketing, and the Museum
  • Support morning school tour arrivals in the main lobby, as needed
  • Assist team members with contract management, supply orders, and other duties as assigned
  • Occasionally work with visitors in the exhibition Noah’s Ark at the Skirball and in various participatory cultural offerings for families, including campus-wide festivals and other drop-in family programs
  • Act as the department receptionist by greeting and escorting visitors, responding to telephone calls and emails, and assisting visitors as able
  • Meet deadlines and accomplish priorities drawing on your own initiative, judgment, and business knowledge

Qualifications, Experience, and Attributes

  • Two or more years of experience in a clerical/administrative support role within a corporate or nonprofit/cultural environment
  • Computer skills in Microsoft Office products (including Word, Excel, Outlook, Teams, and OneDrive) and Zoom
  • Experience with database software, Financial Edge, Altru, and Filemaker Pro preferred
  • Extremely strong attention to detail
  • Excellent verbal and written communication skills
  • Exceptional interpersonal skills—exercises patience, diplomacy, and the ability to work well with people of different ages and backgrounds
  • Proven ability to meet deadlines and exercise follow-through
  • Proven ability to organize tasks and resolve problems, exercise good judgment, take initiative, multitask, and manage a changing and varied workload
  • Must be actively committed to diversity, equity, inclusion, and justice principles
  • Must be willing to assist where needed, accept and support change, and adapt to different work styles when interacting with team members and visitors
  • Have an active interest in and understanding of the Skirball Cultural Center’s mission
  • Proficient in spoken and written Spanish preferred but not required
