Administrator (part-time)

The Administrator for the Culver City Education Foundation (CCEF) provides essential administrative assistance specifically in the areas of general office clerical tasks and scheduling, board support, fundraising/event logistics and donor communications, and assists with communications/social media. Reporting to the Executive Director and also receiving regular direction from the Director of Operations, the Administrator will work within a small, fast-paced team to accomplish impactful work that serves over 7,000 students and educators each year within the Culver City Unified School District. Ideal candidates will have at least two years of work experience, preferably in areas of office/clerical support, communications, fundraising or events, and will be able to illustrate a history of consistent attention to detail and accuracy. They will also exhibit an ability to learn quickly and an interest in the mission of CCEF. This is a part-time, non-exempt position with potential for increased hours in the future. Some evenings and weekends required. Hourly wage, $18-20 and overtime eligible.

  • -  Assist Executive Director as requested

  • -  Maintain filing of CCEF paperwork and materials

  • -  Maintain a clean and organized office environment and order/monitor supplies

  • -  Reserve meeting rooms as needed and assist in preparing for meetings

  • -  Organize and maintain warehouse storage space

  • -  Process required corporate filings

  • -  Provide clerical and tracking support for grants made and administered by CCEF

  • -  Assist in collection of data, reports, recognition and documentation of grants/funded programs

  • -  Support Director of Operations with bookkeeping and audit functions

  • -  Pick up and/or deliver items locally as needed

    Board Support

  • -  Assist in preparing for monthly board meetings, including distributing agendas and all supporting documents and reports

  • -  Maintain official records of Board Meeting Minutes

  • -  Maintain related files and track annual submission of required materials from board members

  • -  Support Executive Director, Board President, and board committees in other ways, as needed


Fundraising/Donor Relations

  • -  Regular data entry and maintenance of eTapestry database

  • -  Prepare and distribute various donor reports and maintain accurate donor lists

  • -  Prepare, mail and track donor correspondence including renewal requests and acknowledgement letters

  • -  Coordinate all donor mailings

  • -  Assist in printing communication and solicitation materials

  • -  Provide support for registration and other school outreach events

  • -  Oversee purchase of Building Block donations and installation of recognition plaques

  • -  Provide support with all aspects of event planning, research, purchasing, reservations, day-of assistance, etc.

  • -  Assist in preparing donor research and briefings



  • -  Assist in creating and publishing monthly online newsletter, including maintaining subscriber list

  • -  Support creation and sharing of content through social media, newsletter and website (possible interviews,

    activity documentation, etc.)

  • -  Prepare and maintain updated list of contacts at each school for school principals, admin staff, and PTA and

    Booster Club Presidents

  • -  Assist in updating calendar, content, images and other information on website

  • -  Coordinate communications with school sites as requested

    Additional tasks to be assigned as needed.



  • Bachelor’s degree is strongly preferred

  • Minimum of 2 years’ work experience, preferably within non-profit organization and/or in areas related to

    office, receptionist and administrative support; customer service; fundraising/development; communications or

    event management

  • Experience with website maintenance (WordPress), a plus

    Skills and Personal Characteristics:

  • Excellent attention to detail and accuracy are paramount

  • Organized, self-starter and ability to manage multiple needs and priorities

  • Demonstrates solid work ethic and contributes towards problem-solving

  • Quick learner and ability to work within small, fast-paced team

  • Able to maintain strict confidentiality and discretion

  • Strong knowledge and experience using Word, Excel, PowerPoint, social media, and donor management

    database (eTapestry preferred). Experience using WordPress and QuickBooks a plus

  • Verbal and written communication ability in a language other than English, a plus



This position reports to and is supervised by the Executive Director. Tasks and additional supervision to be provided by the Director of Operations.



  • Part time up to 20 hours per week, mainly Monday-Friday (potential for increased hours in future)

  • Availability for evening and weekend events essential

  • Five days paid sick/personal leave annually (after first 60 days)



Non-exempt, overtime eligible position, $18-20/hour depending on experience


Environmental Conditions:

Temporarily (through continued physical distancing mandates) some work conducted from home and some from small, shared office space; exposure to computer screens, noise and electrical energy; extensive contact and interaction with CCEF staff, staff of CCUSD, CCEF board members, as well as donors and potential donors.


Physical Conditions:

Essential functions require maintaining physical condition necessary for sitting, standing and walking for extended periods of time. Must be able to travel between varies locations within Culver City, including some evenings and weekends. Need to be capable of short term, occasional lifting of up to 20 lbs.
