P.S. ARTS, a dynamic nonprofit organization working to change children’s lives through arts education, is currently seeking a new team member.  Supporting the CEO, the Administrative Assistant provides a high-level of executive support to the CEO and senior staff, coordinates all administrative requests, and assists the Operations, Programs, and Advancement departments as needed. This position will provide the opportunity to work closely with each of the organization’s departments and offers room to grow within this award-winning nonprofit.

The Administrative Assistant will coordinate and support the organization’s administrative affairs, including but not limited to prioritizing and juggling multiple and frequently-conflicting deadlines, commitments, and projects. The Administrative Assistant screens, sorts, and responds as appropriate to a high volume of telephone, written, and email communication; assists with any needs or requests from the Advancement, Programs, and Operations teams, including coordinating and supporting events and meetings; represents the organization to internal and external constituents with a high degree of efficiency and poise; implements and streamlines office procedures and maintains files; and may coordinate the CEO’s and organization-wide calendars, participate in program content development, and provide feedback during strategic planning processes.

The organization is looking for someone with 1-3 years of experience working as an assistant; ability to work independently and follow through on all assignments with minimal direction; ability to handle multiple tasks and deadlines and work with a fluctuating and dynamic schedule; excellent communication skills and a polished and professional demeanor; proficiency with Microsoft Excel and Word, as well as Survey Monkey, Dropbox, Doodle Poll, and Gmail; valid Driver License and reliable mode of transportation. Preferred skills include Bachelor’s degree; knowledge of fundraising database; proficiency with Adobe design suite; experience in nonprofit, arts, and/or education landscape.

HOURS: This is a temporary full-time position with the opportunity to become permanent; some nights and weekends required
