Summary

This position manages the operations of the Shakespeare Center of LA box office for seasonal duties April - July. The ideal candidate will have proven experience ticketing, customer service, financial reporting and staff management. Experience with nonprofit organizations and working with development offices is a plus.
 
The box office manager is responsible for the ticketing builds, setup, maintenance, and management of Shakespeare Center of LA’s performances of Henry IV at the Japanese Garden at the Veterans Administration West LA campus and Shakespeare Center of LA’s reading of Titus Andronicus.


This critical management position requires experience in quickly developing and managing an air tight policy for ticketing requests, regulations, and operational procedures for a high-profile, short-run show with limited ticket availability; building and maintaining a ticketing system for Shakespeare Center of LA with Vendini, experience training and scheduling Box Office staff and VIP concierge for best coverage, flexible attitude that maintains calm and good decision making in a changing environment, exceptional organizational and customer-service skills and the ability to work efficiently and accurately under pressure while interfacing with both staff and guests.

 

RESPONSIBILITIES

Core Duties:
 
Build, maintain and modify events in the ticketing system based on ticketing best practices and preferences of Shakespeare Center of LA special event staff and management.

With input from the Shakespeare Center Special Event staff facilitate the building, management and communication of an air tight policy for ticketing requests, ticket hold/release schedule, regulations, and operational procedures for a high-profile, short-run show with limited ticket availability.

Make sure that ticketing policy is communicated clearly to the Shakespeare Center staff, actors, designers, veterans and box office staff, as well as to public in all channels including web, tickets, mobile, social, call center, email, etc.

Maintain event ticket inventory and placement/release of all ticket holds and comps for live events. Ensure ADA compliance for all ticketed events.

Manage and maintain distribution of 2,000 free tickets to Active Duty and Veterans.

Manage the pre-approved pricing strategy for sale of tickets including pre-sale tickets, tickets for VIPs, last minute ticket sales, and secondary-market sales, as needed.

Generate and distribute the daily ticket count report for assigned shows.
 
Serve as prime contact with Vendini regarding events and system maintenance, and providing on-site system administration for all aspects of Vendini software and hardware. Report and follow up on any ticketing equipment repair issues. Return all Vendini equipment as required at the end of Henry IV.

Serve as prime contact and facilitator with IT Manager.

Coordinate the transportation, set-up, strike, and storage of the box office hardware at the Shakespeare Center of LA offices and the Japanese Garden at the Veterans Administration West LA campus. Return all Vendini hardware as required at end of Henry IV.

Prepare, process and store all Live Event financial reporting in conjunction with the Finance and Marketing Departments.
 
Assist the Development Department in providing service to Shakespeare Center of LA VIPs including training and managing Box Office Associates to work as VIP concierge.

 
Generate show audits, method of payment forms and other post-show reports needed for show settlement and record-keeping.
 
Responsible for training, scheduling and management of Box Office staff, including part-time staff and VIP Concierge. Complete Box Office payroll forms.

Maintain Box Office customer service program. Resolve customer service issues as necessary.
 
Audit tickets, complete data entry and sell tickets during business hours, events and day shifts as necessary.

Responsible for box office safe and all monies inside. Complete daily deposits and monitor credit card functions. 

Oversee the proper and timely response to and archive of emails and voicemails sent to the Box Office and GroupSales email alias

  • Maintain and update the DonorView patron database with Vendini information.
  • Assist Concessions and Front of House departments, as needed

Facilitate full-price group sales as requested and if possible with existing inventory.

Other duties as assigned by Special Event Director of Marketing & Ticketing and Development Director. 

 

REQUIREMENTS

PHYSICAL REQUIREMENTS:

The physical demands described here are representative of those that must be met by the Box Office Manager to successfully perform the essential functions of this job. While performing the duties of this job, the Box Office Manager is regularly required to sit, stand, cross uneven, unpaved outdoor surfaces with cables, and ascend and descend stairs. Job responsibilities take place outdoors and indoors in weather, rain or shine. On occasion the Box Office Manager will be asked to lift and/or move up to 25 pounds.

EDUCATION/EXPERIENCE:
 
Bachelor’s degree with two to four years related ticket industry experience or equivalent combination of education and experience.
 
Other Minimum requirements:
 
Mastery of any ticketing software, preferably experience with Vendini, in a live outdoor theatre environment.

Significant experience in Microsoft Word, Excel, and Outlook, and ability to learn all required business systems, including any financial reporting systems. Experience with DonorView preferred.
  
Must be detail-oriented, organized and able to multi-task. Able to take initiative, trouble shoot and make effective decisions.  
 
Exceptional customer service, oral and written communication and interpersonal skills. Present a polished professional appearance as needed in front of customers and VIPs.
 
Must have flexibility in hours and days available for scheduled events, including nights and weekends

Reliable and timely transportation between Shakespeare Center of LA and Japanese Garden at Veterans Administration West LA campus.
