Under the direction of the President, the Administrative Assistant will perform a wide variety of administrative work, exercising independent judgment, and relieving the President of administrative detail; serves as liaison between the President, donors, faculty and staff, students and others.

Works closely with and provides support to the President on various projects handled out of the President’s office, including the construction and launch of the Colburn Center, a Frank Gehry-designed concert hall and dance center.

Interfaces with and provides support to Artistic Administration Department.

Duties and Responsibilities

1. Serves as liaison between the President and constituencies with whom he interfaces, including faculty and staff, consultants and community members.

2. Works closely with President on assigned projects, including interfacing with project teams.

3. Provides administrative assistance to the President by maintaining the calendar; scheduling meetings, making travel arrangements, coordinating appointments, etc. Organizes and coordinates the flow of activities through the office in relation to priorities, schedules and deadlines. Organizes and performs confidential, varied and complex administrative duties.

4. Assembles, prepares, proofreads and/or distributes materials, including materials related to performances and season brochure; arranges for set up of room and meals/refreshments at meetings of the President as required.

5. Serves as receptionist for the Office of the President; screens visitors and telephone calls; provides accurate pertinent information regarding rules, regulations, and policies; relieves the President of considerable administrative detail.

6. In coordination with the Vice President of Philanthropy, provides support in identifying and contacting potential donors. May help arrange student performers/repertoire for donor events, and coordinate logistics with relevant departments. May assist with planning, logistics and implementation of special events.

7. Interfaces with and provides support to Artistic Administration Department as needed. May help identify and engage artists for Master Classes and performances.

8. Tracks expenditures against the approved budget.

9. Coordinates and conducts a variety of special projects and events as assigned.

10. May train and provide work direction to clerical assistants and student workers.

11. Performs related duties as assigned.

KNOWLEDGE AND ABILITIES:

KNOWLEDGE OF:
School organization, operations, policies and objectives
Background in music and/or dance, including classical repertoire, as necessary to assist President of a music/dance school
Office practices, procedures and equipment including word processing, spreadsheets, PowerPoint and other related programs
Research methods and report writing techniques
Correct English usage, grammar, spelling, punctuation and vocabulary
Oral and written communication skills; interpersonal skills using tact, patience and courtesy

ABILITY TO:
Perform complex administrative work, including work related to music and dance; assist in the maintenance of a positive image of the School.
Exercise good judgment; reason logically and draw valid conclusions
Maintain confidentiality and establish and maintain cooperative and effective working relationships with others.
Work independently with little direction[ meet schedules and timelines.
Communicate effectively both orally and in writing.

EDUCATION AND EXPERIENCE:
Equivalent to: Bachelor of Arts degree and five years of directly related work experience. Background in Music and/or Dance including classical repertoire, as necessary to assist President of a music/dance school.
