The Broad Stage seeks a Development and Marketing Coordinator to support the operations of our Development and Marketing departments. In this role, you will join a team of energetic, enthusiastic, and smart professionals with a passion for the arts and the audience experience. You bring your energy, organizational skills, and attention to detail as you support both the Development and Marketing departments through database management, donor concierge services, and audience outreach and communications.

About the role
Reporting to the Director of Development, the Development and Marketing Coordinator will join the Development and Marketing teams which include seven staff members across the two departments. This position will support Development and Marketing operations including database management, Member concierge services, and audience outreach and communications.

This is a new position, and you will be an integral part of helping to define the responsibilities and scope of work as the position changes over time.

Areas of Accountability

Database Management
- Manage gift entry and processing in our Customer Relationship Management (CRM) software, Patron Manager.
- Draft, prepare, and distribute gift acknowledgment letters, including securing signatures from leadership when necessary, ensuring letters are delivered in a timely fashion.
- Conduct research and campaign analysis.
- Coordinate list segmentation for audience communications.
- Assist in updating Member profiles and solicitation plans in Patron Manager.
- Assist with prospect identification processes in Patron Manager (using iWave software).
- Support Director of Development in generating and distributing financial reports from Patron Manager.
- Maintain integrity of new and current data in Patron Manager
- Track and document both departments’ use of Patron Manager and maintain Standard Operating Procedure manual accordingly.

Member Concierge Services
- Monitor the Development department email and phone line, responding in a timely fashion to fulfill Member ticket requests such as refunds or exchanges, offer event recommendations, or answer general inquiries.
- Assist with subscription and single ticket sales for VIP Members.
- Coordinate with Patron Services in the process of holding, allocating, and releasing complimentary ticket holds.
- Maintain Member files (digitally and hard copy).

General Operations
- Create and execute grassroots marketing programs, including student outreach and community partnerships.
- Lead program book process (digital and print).
- Assist in maintaining the artist asset library.
- Manage department calendars.
- Attend external functions including performances, member events, and fundraising events for The Broad Stage to interact with audience members, and represent The Broad Stage at meetings, conferences, and other functions as necessary.external

Essential Skills
- Excellent interpersonal and written skills
- Attention to detail and strong organizational skills
- Ability to multitask; manage details and deadlines with forethought
- Knowledge of Microsoft Word and Excel.
- Comfortable with CRM and wealth screening software a plus; eagerness to learn new platforms and processes to support the work of Marketing and Development.
