Summary:

The Development Assistant is responsible for assisting the Chief Advancement Officer with day to day tasks and providing general administrative support to the department. The ideal candidate is someone that thrives in a fast paced, detail oriented and busy work environment.

 

Essential Duties and Responsibilities:

  • Provide general administrative support to the Chief Advancement Officer as needed, including scheduling and preparation of meetings, travel planning, filing, and answering phones
  • Conduct donor research and prepare briefings and presentation materials for events and donor meetings, often working closely with the Development Services Coordinator
  • Draft and format effective emails, letters, proposals, reports and other correspondence for development department
  • Assist in planning of various development events, including the annual fundraiser, donor activities, alumni receptions, and job fair.  Attend and staff events as requested
  • Organize and arrange meeting spaces and hospitality for onsite meetings, including site visits
  • Develop digital and mailed event invitations and other communication pieces as needed, often using Constant Contact
  • Monitor general development email accounts and respond to requests from donors, trustees, alumni, volunteers and staff in a timely and professional manner
  • Process and track departmental expenses
  • Update and maintain student and alumni job and internship postings online
  • Serve as backup gift processing staff
  • Assist the department with projects and tasks as needed
  • Other duties, as assigned

 

Qualifications:

  • Bachelor's degree
  • 1 or more years of development experience preferred
  • Proficiency with Microsoft Word, Excel, Adobe Creative Suite, Outlook and creating PowerPoint decks
  • Experience with Jenzabar or similar database system a plus
  • Attention to detail and strong organization skills
  • Excellent verbal and written communication skills
  • High degree of integrity handling sensitive and confidential material
  • Ability to work occasional evening and weekend hours as needed
  • Ability to work both independently and in a team environment, anticipating departmental needs
  • Demonstrated ability to multi-task and work in a fast paced environment
