Development Associate/Special Assistant To The Executive Director

Reporting to the Executive Director (the museum’s founder and lead fundraiser), the Development Associate/Special Assistant to the Executive Director offers critical support to the museum’s top executive.

Full-time staff position. Normal administrative hours at the museum are Monday – Friday, 10 am – 6 pm. This position requires the flexibility to work an unconventional schedule, including evenings and weekends, to support the Executive Director with donor visits and special events. While days and hours may vary from week to week depending on event and visit schedules, an average workweek of 40 hours is expected.

  • Support Executive Director with VIP museum visits by donors and prospects
  • Track and report on gifts to the museum
  • Write and archive development-related correspondence such as thank-you letters and gift receipts
  • Maintain donor-recognition lists
  • Play a leading role in planning and executing development events (in conjunction with the museum’s event team)
  • Maintain updated documentation needed for grant applications and assist the Deputy Director with grant proposals and reports

Direct Support of the Executive Director
  • Provide a wide range of administrative and logistical support to the Executive Director, including schedule management, errands, travel planning, and drafting correspondence, as needed to support the goals of the Executive Director

Skills and Experience
  • Minimum of 2 years experience in a development position or supporting a senior executive
  • Non-profit experience
  • Excellent written and verbal communication skills
  • Strong computer skills
  • Advanced expertise in Microsoft Office Suite
  • Experience working in Altru or other advanced CRM systems a plus
  • Valid California Driver’s License and reliable automobile with insurance coverage for use on the job
