The Financial Manager is a year-round position responsible for daily financial operations and long-term financial planning needed to build and maintain the financial health and maximize and strengthen the internal capacity of Grand Performances (GP) and Plaza Commons, Inc (PCI). S/he plays a critical role in strategic decision-making and operations as GP continues to enhance its quality programming and build infrastructure. Exempt status

 

Duties and responsibilities

 

  • Develops and maintains financial analysis and reporting activities
  • Prepares financial reports and account reconciliation reports according to policies
  • Maintains all financial records and files
  • Partners with the Executive Director in the areas of: finance, business planning and budgeting, human resources and administration.
  • Coordinates with Senior Staff in developing and managing budgets for GP and PCI
  • Submits monthly department income and expense reports for reconciliation with Senior Staff
  • Reconciles monthly bank statements, general ledger balances, and credit card statements
  • Administers all payroll activities, including but not limited to health, payroll taxes, worker’s comp, retirement plans and FSA/dependent care plans
  • Maintains all staff and crew employee files and records, including new hire and termination reporting and paperwork , paid-time off records and balances and other personnel paperwork and training documentation
  • Manages all accounts receivable and accounts payable activities
  • Ensures maintenance of the general and any subsidiary ledgers; prepares accounting journal entries
  • Prepares and arranges Federal and State tax documents for timely filing for GP and PCI
  • Reports and files tax documents and applicable payments, for items including artist State and Federal tax withholding, sales tax, and independent contractors
  • Serves as plan administrator for retirement plans, completing and submitting annual Form 5500
  • Follows up and collects on past due accounts
  • Leads and coordinates the annual financial audit and tax filing processes through the preparation of standard reports, as well as other custom reports
  • Coordinates with programming department to administer all financial activities associated with the performances, including but not limited to payments, tax withholding, petty cash, per diems, merchandise sales and reconciliation
  • Oversees liquor licenses for performances as applicable
  • Manages fiscal agent services and maintains financial records for each account
  • Identifies and resolves invoicing issues, accounting discrepancies, and other financial related issues
  • Compiles information and assists development department on financial reporting for grants  
  • Maintains and manages to internal finance and human resources calendars
  • Streamlines processes and procedures for improving operational efficiency of financial reporting and budgeting systems
  • Coordinates insurance issues with the broker and carriers involving, but not limited to, workers’ comp, liability, umbrella, and Directors’ and Officers’ coverage
  • Coordinates with the broker and carriers for medical, dental, vision, and life insurance proposals and plans
  • Administers and coordinates human resources activities and functions
  • Serves as lead communication for Finance Committee, supplying all reports and recording meeting minutes
  • Works with Executive Director and Treasurer to prepare financial materials for Finance Committee, GP Board, PCI Board meetings
  • Submits GP and PCI annual organization informational filings
  • Assists in review of contracts, as needed
  • Prepares financial reports and analysis for special event reporting

 

Qualifications

  • Bachelor’s degree or an equivalent combination of education and/or experience, knowledge, training and skills related to business, finance or economics
  • Excellent organizational and analytical skills; detailed-oriented
  • Must be self-motivated.
  • Well-developed interpersonal skills
  • Ability to communicate effectively verbally and in writing
  • Strong math skills
  • Ability to establish and maintain effective working relationships with employees, board and guests
  • Computer proficiency in Quickbooks, Paychex, spreadsheets and Microsoft Office
  • Ability to work a wide variety of shifts including afternoons, evenings, weekends and holidays and substitute when needed

Physical requirements

 

  • Frequently communicates with vendors and staff in person, on the telephone, and on the computer
  • Frequently sits at computer and uses hand and fingers
  • Occasionally stoops, kneels, bends and reaches
  • Occasionally lifts objects weighing up to ten pounds when moving equipment and supplies
