Title:  Development Assistant

Reports to:  Director of Development

Status:  Part-time, non-exempt

About Long Beach Opera:  Founded in 1979, Long Beach Opera was the first major opera company in the metropolitan Los Angeles/Orange County region.  Long Beach Opera’s mission is to advance the world of opera by presenting new ventures; to reinvent rare, classic, and overlooked works; to engage an ethnically and economically diverse community; to instill a love for the arts in youth; and to widen the boundaries of the opera experience.  Long Beach Opera is well-known for its world, American, and West Coast premiers of new and rarely performed operas.  The company has a repertoire of more than 100 works and helped provide the stimulus for the subsequent founding of other opera companies in Los Angeles and Orange counties.  

Summary:  Working closely with the Director of Development, the Development Assistant plays an important role by providing administrative support to the Development Office and participating in all fundraising activities including donor relations, annual giving, and special events.

Principle Responsibilities:

Database Management and Reporting

  • Utilizing the organization’s Choice donor software, process donations, prepare acknowledgement letters and other donor correspondence in a timely manner
  • Assist with grant administration including timelines and fulfillment requirements.
  • Implement processes and procedures per LBO’s gift acceptance and fundraising policies
  • Maintain government, foundation/corporation and individual donor files
  • Continually update and correct database records
  • Create queries, run reports, and generate lists as needed by the department and board
  • Provide support for donor communications including phone calls, letters, and emails
  • Provide excellent service to patrons, donors, volunteers, and board members

Special Events

  • Coordination of all activities regarding annual gala, receptions, salons, and other donor events
  • Prepare guest lists, invitations, and other materials needed for fund-raising events
  • Handle all administrative details associated with the Board and Committee meetings (i.e. prepare and distribute notices, agendas, minutes, etc.)
  • Assist with other fundraising projects and duties as requested by Director of Development

Compensation and benefits:

  • This is an hourly, non-exempt position.  Compensation based on breadth of experience and fit with the knowledge, skills and abilities described in this position description.

  • Preparation and Knowledge
  • Associate's or bachelor's degree in a related field
  • Preferably experience in an administrative position
  • Proficiency in Microsoft Word, Excel and PowerPoint. Database management experience preferred
  • Excellent verbal, written communications, and interpersonal skills
  • Ability to present information concisely and effectively, both verbally and in writing
  • Ability to organize and prioritize work
  • Passion for the Arts and LBO’s mission a plus
