Gift Processing & Bookkeeping Assistant 

The Friends of the Chinese American Museum, a 501c3 non-profit, seeks an enthusiastic, well organized, and detail oriented individual who will be responsible for providing a broad variety of administrative and staff support services for the Chinese American Museum (CAM), a public museum of the City of Los Angeles.

The Gift Processing & Bookkeeping Assistant will interface with museum supporters, El Pueblo stakeholders, City of Los Angeles personnel, and the general public. The Gift Processing & Bookkeeping Assistant reports to and assists the Director of Administration and Executive Director, and is part of the museum's development department, which includes donor and member programs, grant support, and special events.

ESSENTIAL FUNCTIONS

  • Receives and processes incoming revenue and prepares bank deposits 
  • Processes membership fulfillment and donor acknowledgment in a timely manner
  • Maintains the membership, donor, and mailing databases
  • Compiles visitor and financial data and generates specialized reports
  • Performs general office duties including filing, sorting mail, scheduling, maintaining calendars, and preparing internal/external correspondences
  • As the voice of the organization, answers phones and route calls; provides general information to the public; refer questions and issues to appropriate staff or department for further information and problem resolution.
  • Assists with membership and donor programs, grant support and special events as needed
  • Manages limited museum store operations, including reconciliation and inventory

 

QUALIFICATIONS

  • Bachelors Degree required
  • Self-starter, takes initiative, well organized
  • Exceptional attention to detail
  • Ability to maintain confidential record keeping
  • Adept with cash handling and revenue processing
  • Proficient in Microsoft Word, Excel, and Gmail
  • Excellent communication and written skills
  • Bookkeeping experience desirable
  • Ability to multitask and perform routine duties either working alone or in a team setting
  • Demonstrated interest in Chinese American history and culture a plus
  • Multilingual in Spanish and/or Chinese a plus
  • Previous museum/non-profit experience a plus

Other Requirements

  • Must possess a valid California driver's license and auto insurance coverage
  • Access to an automobile

COMPENSATION

The position is full-time, non-exempt, with an hourly compensation range of $14.90 to $15.85 with vacation and basic medical benefits. Compensation is commensurate with experience.  Occasional evening and weekend hours are required.
