Position: Individual Giving Coordinator

Status: Exempt/Full-Time/Year-Round

Reports to: Director of Development

Supervises: Membership Interns and Volunteers

 Job Summary: The IGC is responsible for coordinating and assisting in the implementation and growth of Outfest’s Individual Giving program. The Coordinator will work with the Director of Development, Development Staff, and Executive Director to assist in raising $600,000 in 2016, with plans for significant increases annually.


 Essential Duties & Responsibilities:

Program Development:

  • Work with the Director of Development and Major Gifts Officer to implement an annual strategy for contributions from new and renewing members and individual donors, including efforts to expand and diversify the donor base.
  • Assist in prospecting and identifying individuals for engagement in support of Outfest’s mission.
  • Learn all aspects of the existing Outfest individual giving program and the roster of current donors.
  • Support the growth and stability of the Emerging Leaders Council; Youth Membership and other targeted fundraising activities.

Program Implementation:

  • Maintain donor database, including creating and updating contact records, entry of contributions, tracking of communication and entry of donor research.
  • Manage the receipt, processing, tracking and recognition of all individual contributions.
  • Support the execution of cultivation, solicitation and/or appreciation events (i.e. member screenings, parties, launches), including event RSVP tracking, set-up, volunteer management, check-in and other membership related activities.
  • Coordinate the execution of a minimum of two annual membership appeals (mailed/emailed) and varied fundraising campaigns. Including interface and coordination with designer, printer and mailing house, soliciting bids for services and creating and maintaining mailing and email lists.
  • Cultivate and steward relationships with, and eventually solicit funding from, both current and prospective general members and individual donors with an emphasis on upgraded memberships.

Stewardship and Communication:

  • Maintain active communication with members, contributors and single ticket buyers with an emphasis on relating organizational activities, impact, achievements and further opportunities for engagement.
  • Active stewardship of relationships with members and constituencies including in person meetings and recognition activities.
  • Solicit and address feedback from stakeholders with recommendations for improvement and recognition of areas of strength.


  • Minimum of one (1) year of experience with professional fundraising database such as Razor’s Edge, PatronManager or similar
  • Minimum of one (1) year of demonstrated success in individual giving and membership activities
  • Minimum of one (1) year demonstrated success with event support and coordination
  • Minimum of one (1) years experience supervising and motivating volunteers
  • Exceptional verbal and written communication skills; a high level of comfort with direct donor interaction
  • Excellent time management and organizational skills, including attention to detail
  • Ability to work well independently and as part of a team
  • Ability to manage several projects simultaneously and to succeed under pressure
  • Ability to be both engaging and professional when making presentations at events and meetings
  • Ability to work well with others and to exhibit strong interpersonal skills
  • Strong knowledge of PatronManager (or related database management systems), MS Office, Google Apps, social media, FilemakerPro experience a plus
  • Proficient or intermediate skill in Photoshop, Illustrator a plus
  • A commitment to Outfest’s mission as well as an understanding of its four programs and their role in the broader LGBT Movement

General qualifications:

  • Ability to sit and work at a desk for several hours at a time.
  • Ability to travel and attend meetings, presentations and events outside the office / have own vehicle.
  • Work occasional weekends and/or extended workdays.
  • Must be able to lift 50lbs
