1301PE seeks a full-time Gallery Manager to begin immediately. The Gallery Manager is responsible for the overall flow and effectiveness of the gallery. They will work in tandem with the Owner/Director and Sales Director to ensure all deadlines are met and nothing is overlooked. The primary responsibilities include general office administration, inventory and information management, exhibition support, and shipping coordination.
Of central importance in the position, is clear, courteous and effective correspondence with artists, clients and vendors. To be effective in this position, candidates must have exceptional multitasking and organizational skills, have the ability to work independently and unguided in a high-pressure gallery environment.
As it is a small team, there is opportunity to pursue and explore various aspects of the business based on need, interest and experience. Working hours are 9am – 6pm, Tuesday – Saturday, with additional support required around exhibitions and art fairs. Salary is commensurate with experience.
Responsibilities include:
- General office administration: answering phones, greeting visitors, handling all
incoming and outgoing mail, filing paperwork, managing various gallery accounts,
calendar maintenance, stocking supplies, and backing up computers and servers
- Inventory and information management: managing inventory and contacts in Artbase,
requesting high quality photographs of artworks coming from artists studios, creating
consignments and loans, knowledge of gallery’s art storage
- Exhibition management and event organization: planning exhibitions and executing all
related tasks, requesting materials from artists, scheduling art handlers, cleaners, and
photographers, distributing press releases and posting events to online listings, email
marketing and physical mailings, planning dinners, stocking beverages for openings, and
becoming familiar with art world persons
- Tracking the movement of and shipping artworks: keeping records of the movement of
artwork to and from storage, artists studios, collectors homes, institutions, etc., creating,
managing and tracking domestic and international shipments and coordinating with
senders and recipients, creating relevant consignment and customs forms and making
sure artworks are properly insured and labeled
- Archive management: requesting installation images of all solo show for each artist,
maintaining knowledge of artists schedules and upcoming exhibitions, organizing all
correspondence, documentation, press, images, consignments, projects, bios and CVs
for each artist, organizing the gallery library and artist publications, filing all billing and
invoices, tracking various production costs
- Website maintenance & graphic design: weekly and monthly website updates,
formatting all gallery e-blasts, updating social media accounts, assisting with poster
creation
- Various forms of assistance: running errands, providing technical support for Mac
systems and software, making pickups at artists studios, visiting other related vendors
as necessary
- Art handling: assistance with moving, wrapping, packaging, hanging, and storing
artworks for various purposes including private views, exhibitions, and art fairs
Requirements:
- Minimum BA in Art History or related field
- Minimum 3 years experience in a commercial art gallery, art institution, or related art
world position, with minimum 1 year in managerial position
- Proficiency in Mac OS, Artbase, and Microsoft suite (Word, Excel, Powerpoint)
- Working knowledge of QuickBooks is highly preferable
- Self-motivated, pro-active and reliable; quick learner, ability to work independently,
goal-oriented, highly organized, strong attention to detail
- Diplomatic and discrete with confidential information
- Understanding of Los Angeles or other major art scene desirable
- Interest in learning new skills and pursuing projects from start to finish
