This position supervises the following staff: Program Assistants, Interns, independent contractors and vendors
Salary: $46000 annual salary, overtime non-exempt with medical benefits
The Program Coordinator is an administrative role supporting all tasks and projects related to the organization and realization of MAK Center’s programming: public events, exhibitions, visitor services, benefits and fundraising, and the Artists and Architects-in-Residence program at the Mackey Apartments. Primary responsibilities in addition to programming support includes managing staff, procedures, and initiatives within front-of-house operations and communications. The Program Coordinator will attend and assist at all MAK Center programs.
The Programs Coordinator will work with the Director and Exhibitions and Programs Manager to organize exhibitions and public programs at the Schindler House, Mackey Apartments, and, on occasion, Fitzpatrick-Leland House.
Public Programs: The role supports the Director and Exhibitions and Program Manager in the production of public events. Responsibilities include communicating with outside artists/lecturers/contributors/organizers, hiring independent contractors (photographers, caterers, bar tenders, etc.), checking MAK Center’s stock and procuring supplies (wine, cups, napkins, etc.), scheduling and leading event walkthroughs/rehearsals, staffing and supervising staff at events, and setting up/breaking down events.
Exhibitions: The role supports the Director and Exhibitions and Program Manager in the production of exhibitions. Responsibilities include scheduling independent contractors (art installers, handlers, moving, and shipping), assisting with install, preparing condition reports, production of exhibition-related didactic material, communication with artists and outside collaborators, and other miscellaneous supportive exhibition needs. Requires strong problem solving skills and the ability to approach tasks creatively.
Residency: Supports Director and Exhibitions and Program Manager with residency programming and planning; maintain the archive of photography and records of activities and program.
Communications: Maintains the communications calendar, content and distribution, including general, press and artist communications. Overseeing the implementation of the communications calendar and campaigns on social media (Instagram, Facebook, Twitter scheduled on Later.com), and through our mailing list on Mailchimp. Requires copy-editing text, checking dates, formatting, names, credits, spelling, etc. and the ability to follow a style-guide.
Website: Updating and maintaining website with exhibition and programs information, documentation, relevant institutional messaging; if possible, tracking website usage statistics via Google analytics
Benefit Event Coordination: With Director and staff, coordination and preparation of development programs and major campaigns; coordination of benefit event production including MAK Games and MAK Tours; assist Director with outreach and coordination of host committees, sponsors, and press around benefit events; maintain donor database and oversee donor management including benefits fulfillment; ensure acknowledgement of all donors and sponsors
Membership: Support membership advancement and programs, and mailing list database management. Oversee promotional campaigns to increase membership.
Visitor Services: Manage and staff visitor services at MAK Center (including opening up the Schindler House (835 N. Kings Road, West Hollywood) to the public; perform ticketing and admissions services; maintain visitor services / ticketing schedule, including schedule of weekend staffing, training new staffing for visitor services; checking [email protected] email and responding to visitor inquiries; responding to and organizing group tours and private visits; scheduling docent guided tours and group tours; monitor exhibitions, tracking bookstore purchases and shipping books from the bookstore
Office Admin: Responsible for administrative duties such as answering the phone, checking the general voicemail for messages, checking mail, sending and receiving packages. Assisting with office administrative duties as needed. Responsible for ensuring office and Schindler House. Appointing and delegating responsibilities to interns, part-time and volunteer staff relative to communications and development overseeing their work.
The MAK Center is a small team with a face-paced work environment. The Program Coordinator will work closely with the Director and Exhibitions and Programs Manager, and needs to be able to work well collaboratively, maintain systems and organizational structures, independently manage time, multitask/oversee multiple projects and exhibit a keen attention to detail.
This role will require staff to build familiarity with and command of organizational softwares, content management systems, and programs, including: Trello, Slack, Acuity, Later, Mailchimp, FileMaker, Square, Squarespace, Google Drive and Adobe Suite: Illustrator, InDesign, Photoshop
The position of Programs Coordinator is full-time employment at 40 hours per week with additional hours required in the case of evening and weekend programs when the Programs Coordinator assistance is needed.
Remuneration will be $46000 annual salary with medical benefits, paid time off, mileage and cell phone reimbursement. MAK Center will comply with all overtime regulations per state of California. Overtime hours must be approved by the Director. MAK Center will pay the payroll taxes as required by law. Office Hours are Monday through Friday 10am-6 pm. The Program Coordinator is entitled to health insurance benefits.
