We are a poster and fine art paper conservation and restoration studio in Los Angeles. We are specialists in addressing all paper conservation needs and employ a staff of highly educated and skilled technicians and artists. We are one of the premier paper conservation studios in the country.
We are seeking a full-time office manager that has excellent organization, prioritization and memorization skills. We need an individual who is exceptional at communicating. The ideal candidate will have prior administrative and/or management experience and a professional, positive, and upbeat temperament. While it is not a necessity, a background in art or art history is a plus!
The candidate’s responsibilities include, but are not limited to the following:
- Accounts Receivable and Accounts Payable management – you will be responsible for invoicing all completed projects while also maintaining up-to-date Accounts Payable with all vendors
- Manage day-to-day accounting operation and financial reporting
- Business account management, such as keeping insurances, taxes and permits up-to-date
- Customer Service – communicate with clients about project details, timeline, and pricing
- Respond to customer inquiry in timely manner
- Work with accountant to prepare bi-weekly payroll and fiscal year-end reports
- Process quarterly and monthly tax payments
- Studio photography and updating of database daily
- Basic Photoshop work
- Organizing and handling of delicate, fragile paper-items for storage and photography
- Manage studio staff
- Oversee project management
- Work with staff to schedule projects
- Maintain spreadsheets and forms used to track the progress of all projects
- General office administrative duties
- Answering multi-line phone calls
- Maintain office calendar and office organization
- Designing and maintaining filing system
- Basic Human Resource responsibilities to ensure compliance
- International and domestic shipping and receiving
- Purchasing and tracking of supplies
- Track incoming packages and notifying clients of arrival
- General bookkeeping
- Plan in-house activities and events
- Assist C.E.O. and C.O.O. as needed
- Support conservators in safety data policies, procedures, and compliance
- 50 WPM or higher typist
- Errands or deliveries as needed
The ideal candidate will have the following qualities/skills:
- Prior administrative and/or management experience
- Extremely proficient in MS Office Suite and QuickBooks
- Excellent communication skills and professional phone demeanor
- Proactive and resourceful in solving problems, detail-oriented, and punctual
- Ability to work independently
- Art handling experience a plus
This is a full-time job, Monday through Friday from 7:00 AM until 3:00 PM. We are willing to train the right person. Must be able to start by ASAP. Candidate must be a legal resident, citizen or have permit to work in USA. Please submit resume to [email protected]
