Responsibilities:

The Operations Manager is responsible for supervision and management of all building, safety & security, stage door, and special events as assigned by the Director of Production and Operations at Musco Center for the Arts.

This position reports to and assists Musco Center’s Director of Production and Operations, and works closely with senior leadership in developing and maintaining the facility and the general operations of the theater.

This position oversees the stage door and building operation teams, including student workers, regular and part time staff members.

The Operations Manager provides management and oversight on building systems maintenance and operations, stage door and security operations, as well as oversight, planning and coordination of operational elements for all shows and events. This includes coordination and management of small to mid-sized level ancillary events and special event receptions, and planning and managing set-up and breakdown of non-stage equipment for festival and outdoor events.

This position also works closely with the Musco Center Production department and University Public Safety and Fire and Life Safety to ensure all fire, life safety issues and safety equipment are maintained in accordance with laws, regulations and codes. In collaboration with Public Safety and Fire and Life Safety departments, update and publish Emergency Action Plan, evacuation plans and other safety-related policy and procedure. Interfaces with Musco leadership, Public Safety and Front of House departments to determine proper security levels for each event, and ensures proper security measures are taken. Organize safety and first aid training for Musco Center team.

The Operations Manager is one of the key representatives of Musco Center in relation to other departments and vendors at Chapman University. This position acts as a liaison with Chapman’s Facilities Management Department and outside contractors for equipment and venue maintenance. Also works in tandem with Facilities Management to resolve urgent and ongoing building issues. Operations Manager must develop and maintain strong working relationships with concession, alcohol and housekeeping vendors, and other auxiliary contractors and specialized service providers. Manages and executes venue space and facilities planning in collaboration with Executive Director, Director of Production and Operations, and Campus Planning Department.

Manages the Operations budget – duties include fiscal year planning, operations financial administration and budget management, reconciliations, processing expenses, reporting, forecasting, and tracking of expenses.

Develops and enacts Musco Center operating policy and procedure. Keeps, manages, publishes, and updates Musco Center’s central policy files. Maintains training documentation across all departments. Communicates clearly and concisely to ensure expectations are communicated to and met by all users.

Collaborates with other area managers on maintenance, operations, and event calendars. Develops and manages calendar of regular building and stage maintenance. Act as a key contributor to venue management software user group (Artifax).

 

Required Qualifications:

Bachelor’s degree, or three to five years’ combined related education and operations experience.

Proven leadership skills to build, engage, motivate and maintain collaborative teams, improve services and unite with diverse constituents.

Strong analytical skills to think strategically, evaluate and understand data, identify key areas, develop appropriate solutions and achieve goals and meet deadlines

Experience developing and managing successful relationships with vendors and organizational partners.

Strong time and project management skills with the ability to juggle competing timelines and priorities and a gift for getting things done accurately and efficiently; thrives in a busy and changing environment working with multiple inputs and demands for one’s attention

OSHA 30 Certified

Intermediate level knowledge of contracts, budgeting, and accounting

Self-starter. Project initiator and owner from inception to completion, strong communication and follow-up skills possessing perseverance and the ability to finish challenging projects

Intermediate level computer skills to use word processing, spreadsheet, presentation, internet and electronic mail preferably of Microsoft Office applications. Technically skilled to learn enterprise software systems: Artifax venue management software, PeopleSoft, Vectorworks, Social Tables

Clean driving record holding a current driver’s license able to drive larger vehicles including stake bed truck and passenger van

Strong oral communication skills to convey accurate information in a tactful and diplomatic manner

Strong written communication skills to prepare clear, concise, and grammatically correct business correspondence, including solid editing and proofreading skills

Strong customer service and interpersonal skills, including the ability to foster effective relationships and work with a diverse group of individuals from within and outside the University community
