A Los Angeles Contemporary art gallery is looking for a full-time Registrar/Receptionist for immediate hire.

The ideal candidate will be a highly organized, articulate and personable individual with previous administrative experience in a gallery or museum setting.

He or she must present a professional appearance and be capable of multi-tasking under pressure.

Receptionist responsibilities include but are not limited to:
- Answer phone
- Greet visitors
- Maintain bathroom and kitchen supplies
- Sort mail
- File documents
- Order supplies for office, storage, and install/deinstall
- Host opening receptions and events alongside gallery owner and director

Communication responsibilities include but are not limited to:
- Update Artsy for exhibitions and artworks
- Design newsletters, invitations, save the date, etc.
- Update Mailchimp with emails from sign-in book(s)
- Create and schedule email blasts using Mailchimp
- Maintain account
- Clip artist press
- Update Website; CVs, artist pages, news section

Operational responsibilities include but are not limited to:
- Open/Close LA gallery
- Schedule and oversee art handlers
- Enter costs associated with individual works into ArtBase
- Maintain organization of the server
- Maintain updated artist folders; CVs, client installs, inventory images, etc.
- Support the daily operations of all staff members

Registrar responsibilities include but are not limited to:
- Input all new Gavlak inventory in a precise and detail-oriented manner
- Maintain inventory of all work in LA storage facilities
- Generate digital records for all objects arriving in or leaving LA storage facilities
- Record each time an object is moved in LA storage facilities
- Generate Incoming and Outgoing Checklist(s) for works in transport to or from LA
- Periodically perform location audits to insure accuracy of LA storage records
- Perform condition exams on all new arrivals or loan objects arriving in LA
- Make shipping arrangements for local clients
- Create consignment and loan agreements for incoming work(s)
- Create consignment and loan agreements for outgoing work(s)
- Ensure timely return of work(s) on consignment or loan


Bachelor’s degree in art history, studio art, business or related field preferred
Past experience working in a gallery, museum, or auction house preferred
Excellent communication skills; both phone and email etiquette
Knowledge of basic art handling skills
Valid driver's license and reliable mode of transportation
Detail oriented and highly organized
Ability to work independently in a fast-paced environment
Ability to take initiative and multi-task
Ability to prioritize tasks on a daily basis
Well versed in Adobe Creative Suite and Microsoft Office
Prior experience with FileMaker Pro or data entry preferred

Must be available to work gallery openings and events; some on weeknights and others on Saturday nights
