The CAP Program Manager is a 6 month temporary position and is primarily responsible for administration of all aspects of assigned in-school and out-of-school arts education programs for youth. This position coordinates logistics for CAP programs in all artistic disciplines of visual and digital arts, including arts education and arts integration programs.

The CAP Program Manager position reports to the Director of Programs and Operations.


ESSENTIAL JOB FUNCTIONS (included but are not limited to):

Program Administration (30%)

  • Oversees curriculum, syllabus, outline and lesson plan development for CAP Programs.
  • Assists in the hiring of Lead Instructors and AmeriCorps Fellows.
  • Leads administrative aspects of assigned CAP programs, and supports and manages Lead Instructors.
  • Coordinates all logistics, including scheduling programs, ordering equipment and supplies, arranging transportation, etc.
  • Recruits youth participants for CAP programs, fields youth participant inquiries, manages concerns, and implements participant code of conduct.
  • Conducts monthly site visits to evaluate program quality and effectiveness and completes individual program evaluations using CAP program assessment tools, and compiles and maintains an archive of applicable lesson plans.
  • Implements assessment of youth participant learning and instructor performance through assessment tools to measure the impact of CAP’s overall programming.
  • Reviews and gathers program impact data throughout the school year to evaluate programs and assess programmatic processes.
  • Creates a safe learning environment for CAP youth participants and student instructors. Abides by the rules, regulations, policies and directives of CalArts and CAP as they now exist or as may be adopted by CalArts and/or CAP during the appointment period. Ensures that instructors follow all CAP Policies & Procedures at CAP Program Sites.
  • Completes data entry and ensures timely updating of program and partner information, and participant records in CAP databases, including program curricula, lesson plans, contact information and attendance records.
  • Works with CAP Senior Management to develop individual program budgets on a yearly basis, and works with the CAP Finance Manager to implement and monitor the budget.
  • Provides timely information about assigned programs and works closely with Managing Director on all aspects of fundraising for CAP programs, including cultivation, solicitation and stewardship.
  • Works closely with the Managing Director on the implementation of program evaluations.
  • Works closely with the Managing Director on all aspects of communications about assigned programs through social media, print publications, advertising, press releases, email, publications, and websites.
  • Documents program activities through video, photography, interviews, surveys, etc.
  • Provides classroom support as needed.
  • Maintains assigned storage areas.

Instructor Supervision & Training (25%)

  • Works with CalArts lead instructors and AmeriCorps fellows to recruit, interview, assign and train student instructors for each program.
  • Supervises CAP instructors in collaboration with CalArts lead instructors.
  • Provides discipline specific pedagogical training for CalArts Student Instructors through the CAP Introductory Gateway Program.
  • Conducts assessments of student instructor performance and make recommendations for improvements in teaching.
  • Verifies student instructor eligibility for employment.
  • Oversees student instructor lesson plan content and structure, and classroom management.
  • Maintains a high degree of confidentiality at all times on HR issues related to faculty and student status and performances, student and faculty grievances, and other program concerns.
  • Reviews and approves instructor timesheets.
  • Directly supervises volunteers and interns of assigned programs.

AmeriCorps Administration (25%)

  • Works with the Director of Programs and Operations on the AmeriCorps Program designing and implementing intensive training sessions for the alumni Fellows, facilitating seminars and discussion panels, distributing relevant and timely research to Fellows, assessing Fellow performance and evaluating AmeriCorps Program based on participant feedback.

Community Engagement (10%)

  • Cultivates relationships with school teachers, school administrators, community organization leaders and parents.
  • Serves as first point of contact for partner administrators on program logistics.
  • Actively participates in community building and engagement with program partners.
  • Represents CalArts and the CAP program in public, including partner organizations, prospective students and their families.


Event Management (5%)

  • Plans and produces culmination events, film screenings, readings and art exhibitions for programs in collaboration with Lead Instructors
  • Implements procedures and practices for the management of exhibitions and artworks
  • Works with CAP Operations team to arrange transportation for field trips and events.

Program Development (5%)

  • Brainstorms, researches and proposes with CAP staff the creation of innovative, new programming, and any other new ideas that support and enhance CAP’s mission.
  • Designs special projects and programs utilizing information gleaned from programmatic assessments.
  • Relies on arts education textbooks, educational standards, and programmatic assessment rubrics to evaluate CAP’s programmatic impact.
  • Develops study guides, instructor handbooks, how-to-videos, training and evaluation tools, and other educational materials in collaboration with staff and lead artist instructors.
  • Participates in national peer group meetings, conferences and professional development trainings.
  • Keeps abreast of trends in higher education, arts education, adolescent development, and youth leadership development, community arts and teacher training.

  • Advanced familiarity with Macs, Microsoft Office, FileMaker Pro, Adobe Suite, and video editing software.

  • Ability to attend assigned programs and work on Saturdays throughout the academic year, as well as occasional extended hours, including evenings, as needed.



  • Master’s Degree



  • Three to five years at minimum of professional experience in coordinating arts education programs for youth, including arts integration programs and professional development training for public school teachers. Experience at an institution of higher education highly preferred.
  • Three years of experience supervising personnel.
  • Three years of experience in implementing program evaluations and student assessments, including data collection strategies, survey implementation, data analysis, and reporting.
  • Experience in student development and leadership theory in higher education.
  • Demonstrated commitment to social justice in education.
  • Knowledge of current research associated with arts education and K-12 curricula, key policies in K-12 education (NCLB, ESEA, Common Core, etc.) and the California State Visual and Performing Arts standards
  • Spanish or second language proficiency (written and spoken) a plus (especially Mandarin or Korean)
