The Music Center is seeking a creative, detail-oriented, and proactive events professional with exemplary collaboration, organization, and communication skills to join the Gloria Molina Grand Park team, part of the TMC Arts division of The Music Center. In this role, they will help achieve The Music Center’s mission of deepening the cultural life of every Angeleno and further Gloria Molina Grand Park’s vital role as LA’s Park for Everyone.
The Music Center is one of the largest and most highly regarded performing arts centers in the country. It is a place as well as a year-round producer of relevant, engaging arts experiences for everyone in a variety of venues: outside at Gloria Molina Grand Park and on the Jerry Moss Plaza, inside four iconic theatres in downtown LA, and in communities and schools all over LA County. The Music Center campus is also home to four renowned resident companies – Center Theatre Group, the LA Master Chorale, the LA Opera and the LA Philharmonic.
The Music Center programs and operates Gloria Molina Grand Park, a beautiful 12-acre public park that adds spirit and vitality to downtown Los Angeles. The park stretches from The Music Center campus on the west to City Hall on the east. Opened in July 2012, the park celebrates the cultural life of Los Angeles County. Gloria Molina Grand Park presents free year-round programming including fitness/wellness programs, lunchtime food trucks, theatrical and dance presentations, site-specific performances, music events, holiday celebrations, video and art installations, mid-size (500-5,000 attendees) and large scale (20,000-50,000 attendees) events with multiple stages, pyrotechnics/fireworks, and large-scale projection.
Reporting directly to the Business Manager, this position aids the Business Manager with all aspects of relationships with prospective clients or partners seeking to lease the outdoor spaces in Gloria Molina Grand Park (“Park”), from initial event inquiry through event close-out. The Lease Events and Location Coordinator provides coordination and logistical assistance in the booking, scheduling and managing of lease events at the Park, including aiding in the oversight of the work of the department and Music Center staff that provides operational support for park lease events. This position acts as liaison with all Music Center internal departments including, but not limited to, Housekeeping, Production, Security, Building Services, Guest Services and, Accounting; interfaces on a regular basis with Resident Companies and on-site vendors, including Catering, Parking, Security, and other agencies and entities around Music Center; and works directly with external clients, including corporate entities, government agencies and diverse community groups.
Duties and Responsibilities include but not limited to:

Providing coordination and logistical assistance in the booking, scheduling and managing of rental events at Gloria Molina Grand Park, including the short-term license agreement process for outdoor rentals and Gloria Molina Grand Park partnerships.

Lease Events and Location Coordinator will assist in leading meetings and walk-throughs of performance and event spaces and provide site tours to perspective clients.

Coordinating with security team, including public safety and law enforcement agencies to handle any issues before, during and after events.

Manage Part time staff to assist with rental events and film shoots/photoshoots.

Providing onsite support for all clients and partners during events. Ensuring compliance with park policies, protocols, rules and regulations.

Assisting with the drafting and issuing of short-term license agreements.

Oversee lease events and film shoots/photoshoots at Gloria Molina Grand Park.

Responding to all information requests concerning facility rental within 24 hours turn around.

Develop and propose solutions to complex requests.

Coordinating event specifics and logistics with client and caterer keeping all concerned parties current on rental details and apprised of any last minute request and or changes.

Coordinating with maintenance staff for handling any issues before, during and after events.

Interfacing with all departments for internal and external events as necessary; may be required to attend internal events meetings, assist with internal meetings and productions.

Will provide basic AV services at events using IVCC in-house AV system.

Help maintain client database, client event folders; departmental files, quarterly Rental reports, weekly inquiry reports. Update internal rental calendar with up-to-date information for lease events and other reports as requested.

Assist with Gloria Molina Grand Park projects, events and programs as assigned. Work a flexible work schedule to include early morning, evenings, overnights, weekends and holidays regularly.
Qualifications, Education and Experience:

1 to 2 years of venue and/or event or management-related experience; or equivalent combination of education and experience.

Minimum 6 months experience managing production aspect of a venue and or space including but not limited to scheduling, coordination of vendors, communication with clients.

Bachelor’s degree

Strong project management skills; must be able to successfully combine attention to detail with the ability to anticipate and preempt problems. Problem solving skills to handle complex requests and use logic and reason to develop and propose solutions.

Extremely well organized and detailed oriented and the ability to keep meticulous records, strong follow-through skills; must be self–motivated displaying responsibility and ownership of

work. Must be able to manage, effectively prioritize and complete tasks on varying projects
with tight deadlines and in a fast-paced environment.

Strong communication skills, both verbal and written required; excellent proofreading skills; must be patient and an effective listener; and communicate effectively with all levels of personnel;

Excellent customer service, telephone and public speaking skills required; must be able to communicate detailed information, in writing and by voice, in a clear succinct and accurate manner.

Proficiency in MS Word, Excel and Outlook required.

Must be able to work effectively independently and complete tasks under minimal direct supervision, effectively balancing initiative with keeping supervisor and colleagues informed of activities; must be a strong team player.

Professional demeanor; strong diplomacy skills and ability to influence others; Relate well to people inside and outside the organization including diverse community groups.

Highly dependable and committed; must be able to work flexible work schedule to include early morning, evenings, overnights, weekends and holidays regularly. Must be punctual as well and be able to maintain excellent attendance performance.

Physical requirements include the ability to stand or stay on your feet for extended periods of time.

Work environment: office, performance venue, outdoors with exposure to various weather conditions.
Vaccination Policy: The Music Center requires its employees to be vaccinated against COVID-19 with one booster, subject to certain exemptions as required by law. New hires working at The Music Center must be fully vaccinated no later than 60 days after hire and until they are fully vaccinated will be required to submit weekly proof of negative laboratory COVID-19 test and submit to additional masking and social distancing requirements. Pay Range: $22.50 – $24.73 This is a full-time, non-exempt hourly position. The weekly administrative schedule is 35 hours per week, approximately 9-5 M-F, with adjustments to accommodate special events and activities. Currently, The Music Center practices a hybrid (remote with scheduled onsite team days) weekly schedule and work onsite/in person for live events. This scenario may change and is also subject to the responsibilities of the position.
